Now, virtual assistants, hiring virtual assistants, bringing them into your team is a very, very useful thing. They can help you massively. When you attract the right virtual assistants for specific tasks in your business, they can help you dramatically.
They can really take the weight off your shoulders, whether it’s sourcing, reviewing, purchasing, whether it’s online research, whether it’s answering customer messages. There’s many, many things that a virtual assistant can do. We can get into user settings, we could get into them controlling your accounts and all the rest of it, but in this video, I really want to stress the importance of managing your virtual assistants via systems!
Now, I consumed a lot of information last year. I learned a lot. When I first quit my job and I came out of the sort of employee mindset if you like, and I started thinking business and how I can manage my operations, how I can manage employees and virtual assistants, there’s a lot of data and there’s a lot of knowledge I consumed and put into practice, and what I’ve learned is there’s a really important foundation that you have to put in place when you are attracting people into your business, whether that is virtual assistants or employees, and it all starts really with you, the business owner.
You need to set the foundations for your business and you can do that in a simple way. Simply create the documentation in your business that will allow all your employees to know what is going inside your mind. People are not mind readers, they cannot read your mind. If you are the business owner, if you are employing virtual assistants, employees and then not doing what you want them to do, it is your responsibility as the owner to ensure that you have things in place so they know what the responsibility is!
It’s not really rocket science, but it’s really important to switch your mindset and get these things in place. You can’t really see because of the lighting but we have some documentation there, we have documentation in terms of working procedures, we have documentation in the system for everything.
It’s actually stuff that I talk about in the business training element of Online Arbitrage Mastery, all the part of the same entry fee, you get the standard course as well as the business course, talking about the fundamental principles, the fundamental documentation that you need in your business because when you set the tone of your company, when you set the tone for your operations, it should all be from the base foundation that you set.
I like the quote – I can’t 100% remember it specifically but you have to remember that you as a business owner, you cannot manage everybody all the time, like one on one, like are you doing this, are you doing this, are you doing this, because you would literally be running around all day. So what I really like is we manage systems and not people.
It’s the systems that manage the people and if you can change your mindset, if you can set up systems in your work space, if you can set up systems in your business, you can really, really help yourself. You can really, really help get to the next level and if there is any problems, then it’s with the system, not the people.
If there are problems with the people, if they’re not following the system then that gives you grounds to train, gives you grounds to speak to them and say look, this is the system, this is the procedure that I’m asking you to follow step-by-step and you’re not following it, so I’m sorry I’m going to have to let you go or sorry, you’re going to have to book your ideas up or sorry, you’re going to have to increase your performance levels. Whatever the case is, but it all starts with systems!
If you are expecting virtual assistants and employees or whatever the case is to read your mind and then they do something wrong, then it’s your responsibility, it’s your fault. It’s something that you’re doing wrong as the business owner, it’s your responsibility.
So I just wanted to really mention that in this video, that if you have problems with virtual assistants, are you putting things in place to ensure that they know exactly what they’re doing? If not, it’s your responsibility.
Start drafting up systems, start drafting up responsibilities, roles and responsibilities so everyone knows exactly what they’re doing. Start creating this documentation.
