Success In Personal Productivity | Ep 01 | Creating Your Own Personal Productivity System
Welcome to the first ever instalment of my Success in Personal Productivity series! Today we’re going to increase your personal productivity by tenfold by creating your very own personal productivity system!

Every single week we’ll be talking about being productive and really getting into it to find out what’s going to make you as productive as possible! Every single person on this planet has one thing in common, and that’s TIME!
We all only have 24 hours in a day. This is common to us all, yet some people are able to take massive action in the right areas while others maybe procrastinate a little bit and aren’t able to get things done.
Design your productivity system
Today, I want to introduce you to the idea of creating your own productivity system that will allow you to be 100% on it in the right areas of your life!
You need a system for your productivity because the one thing that really hold people back is the feeling of being overwhelmed by the amount of things you have on your to-do list. The one thing I have learned over the last two years in working on my personal productivity is designing a system that makes you aware of all the information that’s coming towards you.
You need a system that works for you. When you find it, you’re going to refine it over the period of your life because once you start this, there’s no going back because your productivity is going to increase by ten times in the right areas!
One of the programmes I’ve been through is called Time of Your Life. I actually started this again earlier in the week, and I’ll be sharing my experience in my personal development review series. Everyone has so many to-do lists; the problem is, to-do lists only get bigger. When you start to get through them, they only get replaced with more tasks.
Every single day might seem like a bit of a drag. There has to be a mindset shift in terms of productivity and what productivity is.
Productivity means that you are working in the areas that are important to you and also is going to give you as much progress in your day as possible in terms of the things you want in your life.
So if you want that promotion at work, want to learn a new sport or skill, if you want to start a business or grow your business, or if you want to grow your relationships, you need to focus on what you want.
The next step is where it becomes personal and the motivation and drive comes in – I call it my Personal Peak Performance Productivity. It’s all about working at your best because when you know the reasons for why you’re doing something, you’re going to work at your best!
If you are focused on the reasons why your business is going to provide the freedom in your life and be the vehicle for you to experience amazing things in your lifetime, you are going to be driven and then everything else falls into place.
Now you’re taking massive action every day, but you need a system for all of this. Todoist is a fantastic electronic app that allows you to capture your life in a way that every bit of information can be captured and filters into what’s important in the different areas of your life!
What I’ve been learning is that Todoist not only captures your tasks, but it can also capture your life vision and goals! You can organise your life goals in Todoist, and this is why I focus on using this app!
Life Success Engineering
You need to have areas of your life that are important to you, and I have seven areas that are a priority for me. I’ve talked about this before, and everything I do is in my seven areas of what I call my Life Success Engineering.
It starts from the physical body, health and fitness, it’s got my personal development, my relationships, my business, my mission and my contribution. These are all areas of my life that are important to me.
What happens with me is when I get some information – for example, if someone reaches out to me and asks I want to participate in a training course, that comes into my inbox, I then decide if I need to see to it immediately or if I can leave it for later. This is about the system you want to design.
There are many system philosophies, but one I really do like is the Getting Things Done philosophy by David Allan and it’s all about capturing the information that comes towards it because once you capture it out of your mind and into a program or down on paper, that can then be filtered into your weekly and monthly planning, into the different areas of your life.
This allows you to build a productivity system that will allow you to focus on the right things for you.
How it works: Todoist
I recommend first trying the app for free, and if you decide it’s useful, you can then upgrade. You need to create a system that works for you, because there isn’t one system that will work for everybody.

My productivity system on Todoist:
My key areas as I’ve mentioned before are health and fitness, personal development, relationships, lifestyle, business, my mission, which is my Life Success Engineer brand, and contribution.
There are obviously additional tasks that may not fall within these categories, but the majority do. You need a system that will allow you to capture all your tasks and you need to process that information to determine whether it is important to you or not.
Ignore the things that aren’t important to you, and filter the things that are important into your system.
Your Inbox is really handy for when you receive messages or emails that you don’t need to respond to straight away. Simply put it into your inbox and see to it later! I also save any ideas I might have for a future video for example, and save it in my inbox. I then go through my inbox every night and action appropriately. I can action to determine what I want to do with everything in there.
What I’ve been doing for the past week is really getting my goals and visions for all of my key areas into my Projects. Every area of my life is labelled and has all of my goals categorised there to keep me motivated.
In terms of my goals, I was using Evernote for my goals and note taking, but I wanted to get my goals into Todoist as well. It’s currently a work in progress but this is a great way of capturing all your goals and having it in one place!
Also, if I wanted to create a personal development programme, something I can provide as a service to people, but it’s not been scheduled yet because when I have ideas in my inbox and I want to do it in June, I can then move it from my inbox to the month of June! So every single month when I have planned goals for the next month, I can schedule that in as required!
This is simply keeping track and being reminded of your life visions and your goals!
There are also daily tasks in the different categories of my life, that are basically indented tasks on top of everything else!
I’ve also recently started to add the time it takes for me to do tasks. I put time and location labels on it with various times I think it will take to do a specific task and can give it different levels of priority and schedule it for a day.
This is now in my inbox so I can review the task and action it later! I find this feature really useful because it helps me analyse if the task actually took longer or shorter than I first anticipated.
Filters are great, and they mostly come already made up. I created my own filters, such as my Daily Overview – I can assess and action or reschedule my tasks from there and this is a great system if you get it up and running!
This has been a really useful app because I haven’t had to create my physical folder around, my Ultimate Visions and Goals are in here, and in the next weeks as I dive deeper into personal productivity and developing a system for you, keep thinking about your outcome and what actions you have to take to get to your outcome!
Don’t be busy in the wrong areas and start being productive in the right areas! That is the mindset you need to reach your peak personal productivity! There are so many things you can do and you can integrate this with various other apps and with your email!
This way of planning your system is going to help you massively because you can get it on your phone too! See all your tasks, vision and goals, projects and when you complete and tick tasks off or add tasks it will synchronise automatically to all your devices!
